TITLE: ACCOUNT COORDINATOR I (AC)
REPORTS TO: ACCOUNT DIRECTOR/ACCOUNT EXECUTIVE
RANKING: NON-EXEMPT, HOURLY POSITION
BILLED HOURS TARGET: 75% OF HOURS WORKED
PRIMARY FUNCTIONS:

Provides administrative assistance to assigned Client Services team on day-to-day activities for assigned clients (opening of jobs, keeping client status reports).

Purge job folders of assigned clients once projects are completed.

Make report images of project work as directed by Account Manager (financial response report link).

Assist with preparation of client meetings, including production of handouts and books, room set up, meals/catering, reservations and transportation arrangements.

Route project samples to agency staff and keep client sample books current.

Assist with shipping material, photocopying and correspondence for assigned clients.

Maintain client project files – re-organization of file drawers, interact with appropriate CS staff to move files to different phases of storage, coordinate with Office Manager to have boxes moved into long-term storage.

Support new business efforts by compiling start-up materials for client, distributing copies of completed start-up materials and set-up of initial Client Information sheets.

Provide support to clients as requested by the account team leadership.

Assist with preparation of copy and budget approval forms, spreading client budgets in Microsoft Excel and entering budgets into Advantage (billing system).

Assist in preparing for client creative meetings by photocopying copy/photo resource material and bringing current sample books.

Use the web to gather resource materials for client projects as directed.

Other duties as assigned.
Experienced ACs will have the opportunity to acquire these additional responsibilities.

Update client changes in project copy packages and artwork as directed by the AM.

Assist with live-laser and blue lines/vendor text review as directed by AM.

Assist AM with Postage Requests and Select Requests.

Draft Approval documents.
-
Support AM by maintaining the BVA (budget vs actuals), by gathering MW invoices, vendor invoices, postage requests, and budgets, then entering this information into Microsoft Excel.
